University Enterprises, Inc. (UEI) at Sacramento State is seeking a Coordinator, University Union Games Room & Special Projects for University Union. The University Union is part of the Union WELL Inc., an auxiliary of Sacramento State and a California 501(c)3 not-for-profit corporation. The University Union facility, totaling approximately 220,000 square feet, currently houses food service operations, retail operations, multiple meeting and conference spaces, Associated Students, Inc., Student Organizations and Leadership offices, Women’s Resource Center, PRIDE Center, KSSU Student Radio, Public Information Desk, Games Room, Union Gallery, Terminal Lounge (music/video digital media), Student Computer Lounge, Meditation Room, computer and printer workstations throughout the building, a University Police Service Center, and various open lounge spaces. The facilities provide services to over 31,000 students, as well as faculty and staff on campus. RATE OF PAY: $4,178 - $6,267 per month

CONDITIONS OF EMPLOYMENT: 

This is a full-time, non-exempt (eligible for overtime pay), benefited position that is covered under the California Public Employees’ Retirement System. Continued employment in this position is dependent upon the mutual consent of University Enterprises and the employee, and either University Enterprises or the employee can, at any time, terminate the employment relationship at will, with or without cause.

MINIMUM QUALIFICATIONS

  1. Bachelor’s Degree in Education, Business Administration, Communications, Marketing, Recreation Administration, or related field, or equivalent combination of education and professional work experience.
  2. Demonstrated experience in facility management or operations within a student union or equivalent experience in another public, service-related setting.
  3. Demonstrated supervisory or management experience, including recruiting, training, coordinating, mentoring, and evaluating a diverse workforce.
  4. Knowledge of budgeting and risk management.
  5. Ability to direct management goals, facilitate change, and create and implement innovative programs.
  6. Demonstrated ability to work independently with little direction and coordinate many different tasks, determining the importance of each, setting deadlines, and completing projects accordingly.
  7. Excellent verbal and written communication skills, interpersonal skills, and skills to effectively function as part of a team.
  8. Demonstrated experience effectively communicating and working with all levels of employees and/or customers while maintaining a professional demeanor and exercising tact and good judgment.
  9. Ability to compile, prepare, write, and review reports.
  10. Demonstrated experience working with computer applications, including word-processing, spreadsheet, presentation, and email software, such as the programs in the Microsoft Office Suite.
  11. Experience with cash registers, payment processing, operating point-of sale systems, and financial accuracy.
  12. Understanding of video games on various platforms.
  13. Experience in organizing tournaments, events, or promotional activities.
  14. Ability to work effectively and cooperatively with students and staff with diverse cultural backgrounds.
  15. Must be able to work a varying schedule, including evenings and weekends.
  16. Ability to establish and maintain effective working relationships with various staff and the surrounding campus community.
  17. Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.

 

PREFERRED QUALIFICATIONS

  1. Experience working in a gaming lounge, esports arena, arcade or similar entertainment facility.
  2. Understanding of gaming consoles, computer hardware, network setups, streaming, Discord, and troubleshooting common tech issues.
  3. Knowledge of the role of Student Unions in higher education.
  4. Excellent conflict resolution skills.

 

PHYSICAL REQUIREMENTS

With or without a reasonable accommodation: Sit for extended periods; frequent movement; manual dexterity and eye-hand coordination; corrected hearing and vision to normal range; verbal communication; use of equipment including computers, telephones, calculators, copy machines, fax machines, printers, scanners, gaming consoles, and cash registers.  Ability to lift up to 20 pounds.

 

WORKING CONDITIONS

Work is performed in an office environment with frequent circulation between the various desk operations; continuous contact with students and staff; frequent contact with the campus community and the public.

 

DUTIES AND RESPONSIBILITIES

The Coordinator of the University Union Games Room and Special Projects assists with the management and direct supervision of the University Union Games Room, and coordinates special programming, events, or services under the direction of the Assistant Director of Union Services and Operations. The Coordinators’ responsibilities include overseeing the daily operations of the Games Room, executing evaluations and assessments of area-specific services, and advising the Assistant Director of Union Services & Operations of policy or operational improvements. The Coordinator oversees the daily operations of the assigned Union Services area, plans events and programming, and assists in the day-to-day functions necessary to run their site and implement services. This may require work beyond the 40-hour work week and outside the regular campus office operating hours. Since the University Union is open on weekends and evenings, this position is typically involved in activities and supervision services during those times as part of the University Union’s overall operations. In addition, the position will provide input in creating and managing strategic initiatives and budget planning for the Games Room and Special Projects, monitoring expenses, and working with all University Union full-time staff and student staff to promote a successful customer experience.

 

This position reports to and receives direction from the Assistant Director of Union Services & Operations. The Coordinator will supervise all program area staff, including part-time staff, casual employees, contracted services employees, and volunteers.

 

The specific duties and responsibilities are as follows: 

  1. Manages the day-to-day operations of the Games Room, including ensuring courteous and professional customer service, maintaining a clean and safe work environment, monitoring transactions, tracking physical inventory and making recommendations for future inventory purchases, and evaluating operational performance.
  2. Manages the customer check-in process for the Games Room and trains staff on the point-of-sale system's check-in and check-out procedures, as well as services access policy enforcement. Additionally, the Coordinator is responsible for training staff on equipment check-in and check-out procedures, as well as enforcing access policy.
  3. Assists the Assistant Director of Union Services & Operations and co-coordinators in organizing arrangements, setup, staffing, and tear-down for special events, activities, or projects, including but not limited to Phlagleblast, Night at the Union, Wish Upon a Star, Staff Appreciation events, and the Staff Development series.
  4. Creates, leads, and schedules a dynamic and motivated staff of approximately 10-15 part-time student employees using high-quality recruiting, hiring, training, mentoring, development, and evaluation processes. Analyzes and establishes proper staffing levels to meet program needs and safety standards.
  5. Implements innovative and efficient procedures, staff training, and accurate and timely communication strategies that ensure a positive guest experience.
  6. Develops, coordinates arrangements, and directs Games Room programming including tournaments, Learn to Play Showcases, Group Rentals, etc.
  7. Manages group rental requests for on and off-campus groups. Coordinates rental information and sets up need and space allocations based on established usage priorities. Collects campus youth protection registration, tax-exempt, and insurance documentation from the group rental sponsor, when applicable. Develops and sends rental contracts and invoices in coordination with the Assistant Director of Union Services & Operations. Coordinates set-up, access, and operation of special events. Provides onsite supervision for special events as needed.
  8. Works with Financial Services Office staff to resolve unresolved accounting or business transactions.
  9. Assists in managing and developing all financial transactions pertaining to Games Room operations. Assists in developing, preparing, and monitoring the budget for the Games Room.
  10. Monitors and reports on usage statistics for assigned service areas and participation statistics for special events.
  11. Performs basic video gaming console and/or software maintenance tasks and troubleshooting, and communicates major issues and concerns with Union WELL Inc. IT.
  12. Develops, implements, and coordinates equipment inspection standards and equipment use checklists within the Games Room. Tracks equipment usage and upkeep with standard industry advancements.
  13. Works closely with Union WELL Inc. Marketing staff to develop and implement comprehensive communication and outreach marketing plans.
  14. Oversees the University Union Games Room Discord Server to create a dynamic and informative Games Room community among Sacramento State students.
  15. Works with the Assistant Director of Union Services & Operations to collaborate with other campus departments, student organizations, and divisions in conducting information sessions about the Games Room and its programming.
  16. Responsible for ensuring facility supervision and security during all hours of operation and assisting with injury and incident management as needed.
  17. Works with staff and guests on complex issues as they arise and helps resolve any concerns, updating the Assistant Director of Union Services and Operations, as necessary.
  18. Provides input to the Assistant Director of Union Services & Operations for the strategic plan, taking into account assessment of services and programming provided.
  19. Assists with developing and implementing safety and risk management training for all staff. Ensures all activities are conducted per established and approved rules and regulations that address guests’/ customers’ safety as a high priority and establish service standards.
  20. Participates in the University Union’s building safety committee. Assists with the facilitation of staff emergency training and preparedness drills.
  21. May work occasional evenings and weekends based on staffing and program needs.
  22. Performs other duties of a similar nature as requested by Assistant Director of Union Services and Operations and, when designated, can act in the absence of the Assistant Director of Union Services and Operations.
